Patients choose a practice the way they choose everything else now: on their phone, after reading reviews, and they expect to book, fill out forms and pay without calling. In Experian Health's 2025 State of Patient Access survey, 80% of patients said they want to schedule appointments anytime from home or their phone, and only 54% of providers offer it. Kyruus Health found that 92% of people want to fill out pre-visit forms online. In Sinch's 2026 survey of 1,000 US patients, 90% wanted to hear from their provider by text, the top channel.
The front desk is handling that shift with fewer people. In the ADA Health Policy Institute's Q3 2026 survey, 88% of dentists recruiting hygienists called it very or extremely challenging, and about one in four medical groups told MGMA that no-shows rose in 2025, one in three in 2026. Patient experience software exists to close that gap: it lets patients do the work on their phones and writes the result into the system the practice already runs on.
This guide covers what the software is, what it should do, and 21 platforms dental and medical practices actually buy. Every vendor entry was checked against the vendor's own site, press releases and G2 and Capterra in October 2026. Where a vendor does not publish a price, we say so.
What patient experience software is
Patient experience software is the layer between the practice and the patient. It covers everything a patient does with the practice outside the operatory or exam room: finding the practice, booking, confirming, filling out forms, checking in, paying, leaving a review and coming back for the next visit.
You will also see it called patient management software, patient engagement software or patient communication software. They are the same category. The confusion comes from the other system in the office:
- The practice management system or EHR (Dentrix, Open Dental, Eaglesoft, athenahealth, eClinicalWorks and the rest) is the system of record. It holds the schedule, the chart and the ledger.
- The patient experience platform is the patient-facing layer: online scheduling, reminders, texting, forms, payments, reviews, recall.
- The connection between the two is what separates the good platforms from the rest. If a booking does not land on the real schedule, or a payment does not post to the ledger, staff end up typing everything twice.
Some practice management systems now ship their own patient-facing tools, so this guide covers both kinds: platforms that sit on top of the system you already have, and systems that bundle the patient experience in.
What it should do for the practice
Eight jobs, in the order patients hit them. A platform that does five of these well beats one that does all eight badly, but every one of them is a place a patient can drop off or a staff member can lose an hour.
1. Online scheduling that lands on the real schedule
Press Ganey's 2025 consumer report found that 80% of consumers consider online scheduling essential, and only 25% rate the scheduling experience they get today as excellent. The gap is usually a "request an appointment" form that someone at the front desk still has to call back on. Real online scheduling shows live openings and books straight into the schedule, including from Google.
2. Reminders and confirmations by text
In the Cochrane review of eight randomized trials, attendance was 67.8% with no reminder and 78.6% with text reminders. The reminder should let the patient confirm or ask to reschedule with one tap, and the confirmation should show up on the schedule without anyone retyping it.
3. Two-way texting, with missed calls covered
Patient Prism's analysis of 8,280 dental locations found that 31% of patient calls never reach a person. A missed call should turn into a text within seconds, and patients should be able to text the practice about anything: directions, a running-late note, a question about a balance. Staff answer from one inbox.
4. Forms before the visit, not in the waiting room
Kyruus Health's 2024 benchmark found that 92% of consumers want to complete pre-visit questionnaires online. Health history, consents, insurance card photos and signatures should arrive before the visit and land in the chart, so the first ten minutes of the appointment are not spent on a clipboard.
5. Payments by text, statement and card on file
The balance should go out by text with a link, be payable from the statement, and post back to the ledger when it is paid. Payment plans for larger treatment and a card on file for recurring visits cut the follow-up calls.
6. Insurance verification before the patient arrives
Eligibility checked ahead of the visit means the front desk is not on hold with a payer while a patient waits, and the patient hears a real estimate before treatment starts. The better platforms run this automatically for everyone on tomorrow's schedule.
7. Recall and waitlist to fill the gaps
Overdue patients get reminded to book, and when someone cancels, the waitlist is texted so the opening gets filled. This is where most of the revenue impact sits, and it is the first thing a short-staffed front desk stops doing by hand.
8. Reviews
RepuGen's 2025 survey of 1,212 US patients found that 73% consider online reviews when choosing a provider. The platform should ask for the review by text after the visit and route the patient to Google.

Patient experience platforms that work with the system you already have
These sit in front of your practice management system or EHR and handle the patient side. The question to ask each one is how it connects: does a booking land on the schedule, does a form land in the chart, does a payment post to the ledger, and how much of it still gets typed by hand.
1. NexHealth
NexHealth is patient experience software for dental and medical practices, from single-doctor offices to DSOs with hundreds of locations. Patients book online and from Google, confirm by text, fill out forms on their phone, have their insurance verified before the visit, and pay from a text or a statement. Recall and waitlist fill the gaps that open up. On average NexHealth fills 40 gaps on the schedule a month per practice.
The difference is the connection. NexHealth's Synchronizer reads and writes the practice's schedule, chart and ledger in real time. A booking lands on the schedule, a form lands in the chart, a payment posts to the ledger, and nothing is typed twice. It syncs with 15 health record systems, including Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Curve Dental, Denticon, athenahealth, eClinicalWorks, NextGen Office and ModMed. Practices on other systems can use NexHealth without the sync.
The products are Scheduling, Forms, Communications, Verification, Payments, Insights (practice analytics, included free), Treatment Plans, Payment Plans and Phones, plus Coworker, an AI front desk assistant that answers patient texts and books, reschedules, sends forms and collects balances with every step written back into the record. 20,000+ practices and 100 million+ patient records run on it. HIPAA compliant with a Business Associate Agreement for every practice, US-based support, no long-term contracts. Pricing is by quote. See a demo.

Practice management systems with patient experience built in
If you are choosing a new practice management system anyway, these ship their own patient-facing tools. The trade-off is depth: a bundled module usually covers reminders and forms well and goes thinner on payments, recall and two-way texting, and you are tied to that vendor's roadmap.
15. Dentrix and Dentrix Ascend
Dentrix is Henry Schein One's on-premise dental practice management system, used by more than 35,000 practices; Dentrix Ascend is the cloud version. Both sell patient engagement add-ons covering online booking, reminders, two-way texting, online forms, review requests, recall reminders and instant insurance verification. Pricing is not published. How to choose: five questions
- Does it write into our system, or sit next to it? Ask the vendor to show a patient booking online and then show the same appointment on your schedule, a form in the chart and a payment on the ledger. If any of those is a manual step, your staff will be doing it.
- Does it work with our practice management system today? Get the system named in writing, not "integrates with all major systems". Ask what happens when you switch systems.
- Is it one platform or four add-ons? Scheduling, forms, texting and payments from one vendor means one inbox, one bill and one place to call. Bundled modules inside a practice management system are convenient but tend to be thinner on payments and recall.
- What does it cost per location, all in? Most vendors quote. Ask for the price per location per month, what counts as an add-on (texting, forms, eligibility checks are common ones) and whether there is a contract term.
- What happens in the first 30 days? Who sets it up, who trains the front desk, and what the practice has to do. The best platforms need staff to log in only to answer patient messages.
Frequently asked questions
What is patient experience software?
Software that handles everything a patient does with a practice outside the clinical visit: finding and booking, reminders, forms, check-in, payments, reviews and recall. It works alongside the practice management system or EHR, which stays the system of record.
What is the difference between patient experience software and patient management software?
Nothing, in practice. Vendors and buyers use patient experience, patient engagement, patient communication and patient management for the same category. The thing to keep separate is the practice management system or EHR, which holds the schedule, chart and ledger.
Does patient experience software replace our practice management system?
No. Platforms like NexHealth, Weave or Solutionreach sit in front of your Dentrix, Open Dental, athenahealth or eClinicalWorks and write into it. Some practice management systems bundle their own patient tools instead; those are listed above.
How much does patient experience software cost?
Most vendors quote per location per month and do not publish prices. Of the 21 platforms here, only Weave (from $199 a month), tab32 (from $125) and MOGO (from $250) publish a starting price on their own sites as of October 2026. Capterra lists starting prices for OperaDDS ($79), Doctible ($249), iDentalSoft ($395) and Adit ($399). Ask every vendor what is an add-on; texting, forms and eligibility checks often are.
Is patient experience software HIPAA compliant?
It has to be, because it handles patient names, appointments, health history and payments. Ask every vendor for a Business Associate Agreement before you sign, and ask where patient data is stored and who at the vendor can see it. NexHealth signs a BAA with every practice.
Fill the schedule and get every patient ready before the visit
NexHealth is the patient experience platform for 20,000+ dental and medical practices. Patients book online and from Google, confirm by text, fill out forms on their phone, have insurance verified before the visit and pay from a text, and all of it is written into the health record system the practice already uses. Staff log in to answer messages, and that is it. Book a demo or call 866-522-1598 to see it running on your system.
