The schedule is the dental practice's inventory. Every empty chair-hour is production that does not come back, and the front desk spends its day defending it: answering the phone, confirming tomorrow, chasing the 3 p.m. that just cancelled, calling the hygiene list. In the ADA Health Policy Institute's Q3 2026 survey of 704 private-practice dentists, nearly two in five said they are not busy enough, and the average wait for a new patient appointment was 12 days. In an earlier ADA poll of 807 dentists, 81% named last-minute cancellations and no-shows as the thing that keeps the schedule from filling.
Patients, meanwhile, want to book the way they book everything else. Press Ganey's 2025 consumer survey found 80% consider online scheduling essential and only 25% rate the scheduling experience they get today as excellent. Patient Prism's analysis of 8,280 dental locations found that 31% of patient callers hang up before reaching a person. And in Weave's 2026 survey of 285 owners, office managers and front desk staff at dental, medical, optometry and veterinary practices, appointment scheduling and confirmations was the first thing they wanted automated (49%).
Dental scheduling software is the answer to both sides of that, but only if the booking actually lands on the schedule. This guide explains the difference between real online scheduling and a request form, what to look for, and 18 options checked vendor by vendor in October 2026, with what each one writes into your practice management system.
What dental scheduling software is
Three different things carry the name, and the difference decides whether it saves the front desk work or makes more of it.
- The appointment book in your practice management system. Dentrix, Eaglesoft, Open Dental, Curve, Denticon and the rest all have one. It is the schedule of record; everything else has to write into it.
- A patient-facing scheduling layer. Software that lets patients see openings and book from your website, from Google and from a text, then confirms, reminds, fills cancellations and brings overdue patients back. The good ones read the real schedule and write the appointment to it.
- A marketplace. Zocdoc and similar sites list the practice to new patients and charge for the bookings they send.
The test for the second and third kinds is simple: does the patient see true openings from your practice management system, and does the booking appear on your schedule without anyone retyping it. If the answer is a "request an appointment" form that staff approve and then enter by hand, the practice has added a step, not removed one.
The request form problem
Most "online scheduling" for dental offices is still a request form. The patient picks a day and a time of day, the office gets an email or a task, someone calls back, and the appointment is typed in. Vendors describe this as online scheduling because the form is online. Some sit in between: they show openings pulled from the practice management system on a schedule, but staff still approve each request before it is written, or the sync only works fully on one system. Read the help center, not the product page: that is where the vendor says which systems get direct booking and which get a request.
Real-time scheduling means the patient sees the openings that exist right now, filtered by your rules (new patients only in certain blocks, hygiene only with hygienists, 60 minutes for a new patient exam), picks one, and the appointment is on the schedule in your practice management system before they close the page. Staff see it the next time they look at the book.
What to look for
- True openings, in real time. Availability read from the practice management system as it is now, not a copy synced every 15 minutes or a set of "preferred times".
- Writes to the schedule. The appointment is created in your system by provider, operatory and length, with the patient record matched or created.
- Your scheduling rules. Appointment types, lengths, which providers and days, new patient vs. existing patient flows, and blocks you keep for production.
- Booking from Google. A "Book online" button on your Google Business Profile, where most new patients find you. Google runs this through approved partners; ask whether the vendor is one.
- Confirmations by text that mark the appointment confirmed. The patient replies C, and the status changes in the practice management system.
- Waitlist and fill-the-opening. When someone cancels, the opening is texted to patients who asked to come in sooner, and the first to accept gets it.
- Recall that books. Overdue patients get a text with a link that books into real openings, not a "call us" message.
- Which of your systems, by name. Direct booking into Dentrix version 23 is a different product from a request form for Eaglesoft. Get your system and version in writing.

Patient experience platforms with real online scheduling
1. NexHealth Scheduling
NexHealth Scheduling lets patients book from your website, from Google and from a text, choosing from the openings that exist right now in your practice management system under your rules for appointment types, providers and lengths. The appointment lands on your schedule in real time, confirmations by text mark it confirmed in the system, the waitlist fills cancellations automatically, and recall texts book overdue patients into real openings. On average NexHealth fills 40 gaps on the schedule a month per practice. It works with 15 health record systems, including Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Curve Dental and Denticon, and the Coworker, the AI front desk assistant, books, reschedules and confirms over text with every step written back into the record. Scheduling is part of the same platform as Forms, Communications, Verification, Payments and Insights, used by 20,000+ dental and medical practices. HIPAA compliant with a BAA for every practice, no long-term contracts. Pricing is by quote. See NexHealth Scheduling.
2. Dental Intelligence Engagement
Dental Intelligence's Engagement product (formerly Modento, now also home to the retired LocalMed scheduling tool) writes bookings directly into Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Denticon and Fuse in real time, with a Quick Fill list for openings, reminders, recall and two-way chat, and booking from Google with no added fees. LocalMed itself was retired in November 2025 and folded into Engagement. Pricing is not published. Capterra 4.6 from 53 reviews.
3. RevenueWell
RevenueWell's online scheduling pulls the exact open slot from the practice management system and, with Direct Scheduling on, writes the appointment without staff review on Eaglesoft 18 and up, Open Dental 22 and up, Dentrix 23 and up and Dentrix Ascend; on older versions the office approves the request and enters it by hand. Its on-premise sync runs every 15 minutes on most systems, every 2 minutes on Eaglesoft, and instantly on cloud systems. Reminders, texting and reactivation are separate products in the same platform. Pricing is not on its site; Capterra lists $189 a month. G2 4.7 from 142 reviews; Capterra 4.4 from 83.
4. Yapi
Yapi's online scheduling syncs with the appointment book in real time on Dentrix, Dentrix Ascend, Eaglesoft and Open Dental, and its recall texts carry a booking link. Yapi combined with DoctorLogic in 2025. Pricing is not published; Capterra lists it from $199 a month. Capterra 4.6 from 49 reviews.
5. Weave
Weave is a phone and patient communication platform for dental, medical, optometry and veterinary practices, with reminders, confirmations by text, a waitlist, a QuickFill tool and reactivation. Its online scheduling is a request-and-approve flow: openings can be pulled from the practice management system, but Weave's help center says that works fully only for Eaglesoft, with other systems in beta, and staff approve each request before the confirmed appointment is created on the calendar. Base plans start at $199 a month, and online scheduling sits in the Coordinate bundle at $149 a month on top. Weave acquired the TrueLark AI receptionist in 2025 and agreed in August 2026 to be taken private by Francisco Partners. G2 4.6 from 524 reviews; Capterra 4.4 from 707.
6. Solutionreach
Solutionreach offers online scheduling with real-time availability and says it writes appointments back to the practice management software, though its dental page describes patients requesting appointments; it names no dental systems for scheduling, so ask for yours. Reminders by text, email and voice, two-way texting and recall are included. Pricing is not published. G2 4.3 from 169 reviews; Capterra 3.8 from 236.
7. Lighthouse 360+
Henry Schein One's Lighthouse 360+ lets patients book 24/7 and syncs with the practice management system every ten minutes, with reminders by text, email and voice, two-way texting, a fill-the-appointment tool and continuing care reminders. Its pages do not mention booking from Google; Henry Schein One sells that separately in its practice growth suite, which covers Dentrix, Ascend, Open Dental, Eaglesoft, Denticon and Cloud 9. Pricing is not published. G2 3.7 from 18 reviews; Capterra 4.0 from 40.
8. Adit
Adit's online scheduling shows real-time availability across locations with ASAP lists, reminders and recall, and integrates with Dentrix, Ascend, Curve, Denticon, Eaglesoft and Open Dental, though its site does not say which systems get the booking written directly. Adit announced an Open Dental partnership in March 2026. Pricing is not published. G2 4.8 from 102 reviews; Capterra 4.7 from 303.
9. Doctible
Doctible's scheduler, on its Scale plan, is described in one place as syncing directly to the practice management system and in another as booking requests, with Eaglesoft and PracticeWorks shown as dental integrations. It includes reminders, a waitlist and recall. Pricing is not on its site; Capterra lists plans from $249 a month. G2 4.5 from 18 reviews; Capterra 4.8 from 265.
10. mConsent
mConsent, best known for paperless forms, also sells online scheduling designed to write bookings back to Dentrix, Eaglesoft and Open Dental under the practice's provider and operatory rules, with text and email reminders; mConsent says what writes back varies by system. Pricing is per location and not published. Capterra 4.9 from 18 reviews.
11. Flex Dental
Flex is an Open Dental add-on whose scheduler shows real-time availability pulled from Open Dental and writes the booking to the appointment book. It serves Open Dental practices only. Pricing is not on its site; a third-party listing shows $199 a month. No public reviews on G2.
Scheduling built into the practice management system
If your system is on this list, its built-in booking is the first thing to try: it writes to its own schedule by definition. The limits are usually in the patient side (fewer channels, no texting or waitlist in the base tier) and in what happens if you ever switch systems.
12. Dentrix Patient Engage
Dentrix's own online booking updates the Dentrix schedule in real time and supports booking from Google, with reminders by text, email and phone, two-way texting and reactivation in the Patient Engage suite. Pricing is not published. Dentrix overall: G2 4.1 from 137 reviews; Capterra 4.3 from 378.
13. Dentrix Ascend
Ascend's online booking is real time, with booking from Google, from your website and from email links, and appointments update the calendar automatically. Henry Schein One launched its Google booking in April 2024. Pricing is not published. G2 4.3 from 20 reviews; Capterra 4.1 from 235.
14. Curve GRO
Curve's GRO module adds online scheduling that is captured in the real-time schedule, text and email reminders, two-way texting, recare reminders and a Smart Fill list for short-notice openings. No Google booking is stated. Pricing is by quote. G2 4.6 from 273 reviews; Capterra 4.4 from 285.
15. Denticon online booking
Planet DDS's online booking for Denticon and Cloud 9 auto-books onto the schedule when Sync Availability is turned on, with near-real-time openings, and supports Google booking. In January 2026 Planet DDS launched MyTooth, a native patient layer with booking synced to provider calendars. Pricing is not published; Capterra lists Denticon from $750 a month. G2 4.7 from 74 reviews; Capterra 4.5 from 118.
16. Open Dental Web Sched
Open Dental's Web Sched adds scheduled appointments to Open Dental automatically and publishes its prices: $75 a month per location for new and existing patient booking, $75 for recall, $20 for the ASAP list (free with recall), $25 for confirmations, free reminders and texting at $5 a month plus per message, or $165 for the bundle. Google booking is not mentioned. G2 4.3 from 47 reviews; Capterra 4.6 from 89.
17. CareStack
CareStack's built-in online scheduling can book directly onto the schedule or require confirmation, by setting, and it supports Google booking. Reminders, texting and pay by text are built in. Pricing is not on the scheduling page; Capterra lists CareStack from $698 a month. G2 4.7 from 206 reviews; Capterra 4.8 from 223.
Marketplaces
18. Zocdoc
Zocdoc lists the practice to patients searching the marketplace and charges per new patient booked, with the fee varying by specialty and location, no monthly fee and no charge for existing patients. Its dental integrations show real-time availability and write appointments back to Dentrix, Eaglesoft, Open Dental, Denticon, iDentalSoft and others. It is a new-patient channel, not a scheduling system for your existing patients. Zocdoc added an AI phone assistant in 2025. No Capterra reviews.
Is there free dental scheduling software?
Not with write-back to a dental practice management system. The free tiers of generic booking tools do not connect to dental systems and mostly do not cover HIPAA: Calendly offers no BAA at all, Acuity signs one on its Premium plan ($55 a month billed annually) and Setmore on its Pro plan ($5 per user a month billed annually), and none of them puts the appointment on your schedule. The cheapest real option is usually the one inside your practice management system; Open Dental publishes its at $75 a month per location.
How to choose: five questions
- Show me a patient booking into my system. Ask for a demo on your practice management system and version, and watch the appointment appear in the book with the right provider, operatory and length.
- Direct or approve? Ask whether staff approve requests, and on which systems the booking is written without review.
- Can patients book from Google and from a text? Most new patients start on Google; most existing patients will book from a recall text if the link opens real openings.
- What happens when someone cancels? Ask how the opening gets filled and who texts the waitlist.
- What does it cost all in, per location per month? Scheduling, reminders, texting and the waitlist are often separate modules.
Frequently asked questions
What is dental scheduling software?
Software that lets patients book appointments online, confirms and reminds them, fills cancellations and brings overdue patients back, with the appointments written into the practice management system's schedule. The practice management system itself holds the schedule; the scheduling software is the patient-facing layer on top of it.
Does online scheduling work with Dentrix, Eaglesoft and Open Dental?
Yes, with the right vendor. NexHealth, Dental Intelligence Engagement, Yapi and, on current versions, RevenueWell all state real-time booking into those systems, and mConsent and Zocdoc say they write back too; several others support only a request form or only one system. Ask for your system and version by name.
What is Reserve with Google for dentists?
The "Book online" button on a Google Business Profile. For healthcare Google routes it through approved partners, so a vendor has to be one for the button to appear. NexHealth, Dental Intelligence, Henry Schein One, Planet DDS and CareStack all offer it.
How do we reduce no-shows?
Confirm by text and make the reply change the status in your system. In the Cochrane review of eight randomized trials, attendance was 67.8% with no reminder and 78.6% with text reminders. Then fill the cancellations you still get with a waitlist that texts patients the opening.
Is dental scheduling software HIPAA compliant?
Any vendor that reads your schedule and patient names is a business associate and has to sign a BAA before connecting. Generic booking tools often do not offer one; dental vendors do. Ask before the trial.
Fill the schedule without the phone
NexHealth Scheduling puts your real openings on your website, on Google and in every text, books them straight into your practice management system, confirms by text and fills cancellations from the waitlist. 20,000+ dental and medical practices use it. Book a demo to see it on your schedule.
